Meeting Cost Calculator
Calculate the true cost of meetings based on attendees, salaries, and duration. Includes a live cost timer, recurring meeting projections, and what-if analysis for cutting attendees or shortening meetings.
Frequently Asked Questions
How is the meeting cost calculated?
The calculator converts each attendee's annual salary to a per-minute rate (annual salary ÷ 2,080 work hours ÷ 60 minutes), then multiplies by the number of attendees and meeting duration in minutes.
What does the live timer do?
The live timer counts the cost of your meeting in real time. Start it when your meeting begins to watch the dollars tick up — a powerful motivator for staying on track and ending on time.
How do the what-if scenarios work?
The what-if section shows how much you'd save by reducing attendees or shortening the meeting. For recurring meetings, these savings compound across the year — cutting just 15 minutes from a weekly meeting can save thousands annually.
Does the calculator account for benefits and overhead?
The calculator uses base salary only. Total employer cost (including benefits, office space, equipment) is typically 1.25x–1.4x the base salary, so actual meeting costs are even higher than shown.
